Facilities Coordinator – United Arab Emirates

Reporting to the Business Services Leader. This role is responsible for:
 Consistently provides facilities support to Cummins Arabia in the UAE to ensure facilities are well maintained, repairs and improvements are undertaken proactively, and internal stakeholders (facility users) are well informed and satisfied.
 Supervises skilled tradesmen, vendors, and contractors in a facility.
 Manages small portions of well-defined projects.
 Provides administrative and logistics support to facilities team.


Ensures that all reported facility jobs are completed on time, within budget, as per customer’s satisfaction – updates and maintains FM action logs, defines scope of work with suppliers, negotiates, reviews method statement and risk assessment to ensure works are executed safely, raises purchases orders and gets them approved as per DOA’s, obtains invoices, coordinates with AP Team and Supplier to ensure timely payment

 Supports planning and implementation of facilities improvements and initiatives, Participates in environmental /energy saving initiatives
 Promotes safety culture amongst facilities contractors and facilities extended team by Conducts HSE induction, does JSA for facility works
 Maintains all facilities records – FM action logs, supplier performance log, maintenance and repair records, supplier database, various trackers, cost sheets, PO’s, quotes, invoices, MS, MSDS, RA, work permits, attendance sheets, check lists, etc. Completes vendor qualification and Movex registration
 Supports with overseeing soft services of IFM contract: daily operations, periodical services at all UAE facilities, performance of cleaners and OA’s, providing input for IFM supplier’s performance review, devising/ approving daily schedules and check lists based on operational requirements and facilities standards.
 Ensures that the established schedules and checklists are implemented and followed through or updated as required with regards to cleaning services.
 Coordinates office moves
 Liaises with FM suppliers, IFM service provider and their subcontractors, security team on a daily basis
 Monthly visits to branches to review outstanding facility jobs with branch operations, and to inspect facilities.
 Quarterly Environmental Reporting with Admin Assistant (waste disposal)
 Provides input for Monthly Facilities Report – consumables costs, IFM supplier’s KPIs
 Other duties as assigned by Facilities Manager
