Executive Administrative Assistant – Bank of Bahrain and Kuwait – Kuwait

1.General Administration: 


i.Implements and maintains an efficient filing system including the executive management shared drive to ensure data & files are well archives and easily accessible.

ii.Manages equipment, stationery and any other assets deployed in the Executive Management area.

iii. Ensure all messages are forwarded/ action quickly and efficiently, being the first point of contact for any telephone enquiries for the AGM-Support Group.

2.Meetings Arrangements:

i.Co-ordinates regular and irregular meetings throughout the year for the AGM-Support Group.

ii.Ensures that all materials for meetings are prepared in a timely manner.

 

3.Diary Management: 

i.Ensures the Calendar of the Outlook system is up to date at all times with meetings, appointments, contact details etc.

4.Post and E-mails:

i.Manages e-mails from own email account.

ii.Receives and dispatches mails to and from the offices of the AGM-Support Group.

iii.Regularly reviews the AGM-Support Group e-mails, to update projects ,tasks and for follow up on pending actions and related due dates.

iv.Deals with correspondence and e-mails quickly and efficiently and ensures all documents submitted for approval are complete and accurate.

v.Assists the AGM-Support Group in day to day duties as requested or any other duties as may be assigned.

 

5.Projects & Tasks:

i. Documents group key projects, related milestones & key tasks in the MS Access database with sufficient & clear details.

Ii.Follows up on projects & tasks with department heads/project managers to ensure milestones, project & tasks are delivered within planned due dates.

iii. Analyzes project progress and escalate to the AGM-Support Group any anticipated delay enough time before the due date .

iv. Communicates effectively with department heads to get updates on their assigned projects and tasks .

v. Provides weekly update to the AGM-Support Group on projects and tasks progress and related challenges if any.

6.Policies & Procedures:

i. Ensures all group policies & procedures are reviewed and signed off within the due dates, once annually for procedures and every two years for policies .

Ii.Ensures new policies & procedures are developed and signed off within agreed due dates.
Iv.Maintains soft copy of final word document version of signed off policies & procedures.

7.Operational Risk:

i. Ensures that department heads are submitting incident reports as per operational risk requires.

Ii.Maintains a file of all loss incidents reports and related operational loss if any.

iii.Follows up on the preventive action plans or other pending action as part of the loss incident report to ensure completion .
